Administrative Assistant / Health & Safety Officer

The applying candidate should have 2+ years experience acting as an assistant / receptionist or in a similar capacity, with a background in Health & Safety.

This role is centered around supporting a fast paced, high energy and passionate team. We are looking for an individual who is efficient and comfortable being a member of a close-knit team. The ability to multi-task, while maintaining and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, possesses excellent problem-solving skills and is well organized. Assuring a steady completion of workload in a timely manner is key to being successful in this position.

 

Responsibilities:

  • Assist with our Health & Safety program including our COR certification
  • Lead our bi-weekly company safety meetings, and file required documentation as needed
  • Respond to questions and requests for information
  • Implement and monitor programs as directed by management and see if the programs through to completion
  • Assist with accounts receivable/payable, assist with payroll, review employee time sheets, data entry, reporting, invoicing, and purchase order management
  • Assume responsibility of keeping the offices' professional appearance by performing light cleaning duties
  • Maintain office supplies by checking inventory and ordering items
  • Answer incoming phone calls and relay messages accurately as well as assuming other receptionist duties when needed
  • Open and sort mail
  • Help plan company events, meetings and employee team building activities or special projects

 

Qualifications:

  • 2+ years of office / administrative experience
  • Previous experience with Health & Safety
  • High organizational skills
  • Ability to multi-task and manage multiple situations and projects at the same time
  • Ability to work with a high energy, rapidly evolving group
  • Operating knowledge of Windows 10 and Microsoft Office software
  • Computer literacy and ability to readily work with QuickBooks and Outlook daily
  • Very proficient in Microsoft Word and PowerPoint
  • Proficient in accessing and keeping Excel spreadsheets up to date
  • Ability to prioritize own workload
  • Strong communication skills
  • Must be detail oriented

  • Full time Monday to Friday, 8:00am to 4:30pm
