The applying candidate should have 2+ years experience acting as an assistant / receptionist or in a similar capacity, with a background in Health & Safety.
This role is centered around supporting a fast paced, high energy and passionate team. We are looking for an individual who is efficient and comfortable being a member of a close-knit team. The ability to multi-task, while maintaining and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, possesses excellent problem-solving skills and is well organized. Assuring a steady completion of workload in a timely manner is key to being successful in this position.
Responsibilities:
- Assist with our Health & Safety program including our COR certification
- Lead our bi-weekly company safety meetings, and file required documentation as needed
- Respond to questions and requests for information
- Implement and monitor programs as directed by management and see if the programs through to completion
- Assist with accounts receivable/payable, assist with payroll, review employee time sheets, data entry, reporting, invoicing, and purchase order management
- Assume responsibility of keeping the offices' professional appearance by performing light cleaning duties
- Maintain office supplies by checking inventory and ordering items
- Answer incoming phone calls and relay messages accurately as well as assuming other receptionist duties when needed
- Open and sort mail
- Help plan company events, meetings and employee team building activities or special projects
Qualifications:
- 2+ years of office / administrative experience
- Previous experience with Health & Safety
- High organizational skills
- Ability to multi-task and manage multiple situations and projects at the same time
- Ability to work with a high energy, rapidly evolving group
- Operating knowledge of Windows 10 and Microsoft Office software
- Computer literacy and ability to readily work with QuickBooks and Outlook daily
- Very proficient in Microsoft Word and PowerPoint
- Proficient in accessing and keeping Excel spreadsheets up to date
- Ability to prioritize own workload
- Strong communication skills
- Must be detail oriented
